Position Summary:  Oversee the design, renovation, replacement and repair of building interiors and furnishings for University Housing and Dining (UH&D). KEY AREAS OF RESPONSIBILITIES AND SPECIFIC JOB TASKS Project or Event Design and Management - Assist clients, faculty/staff, and students in the design of space accommodations. Coordinate and monitor staff or vendor/contractor activity in the modification of facilities or system repairs. Review and verify the quality and accuracy of design proposals including designs, contract documents, cost estimates and specifications. Review and assist in editing construction documents. Assist with space planning for personnel and equipment. Consult with UH&D personnel relative to remodeling and construction projects. Assist consultants with the development of specifications and related documents required for bidding and/or procurement. Responsible for coordinating the repair of furniture for UH&D. Operational Management- Supervise repairs and modification to buildings, equipment, and specialized environments. Initiate and coordinate data and telephone services to building/program occupants. Interpret policy and procedure affecting building or facility use. Prepare periodic reports. Conduct periodic furniture and finishes inspections for condition and schedule items for repair. Coordinate project interior finishes and furnishings along with their installation. Implement work designated by the Director of Facilities and Operations. Attend project planning and construction meetings as needed. Assist with the selection of design consultants and act as liaison between consulting firms and UH&D. Create and maintain a current database of UH&D finishes and furniture including details on type, warranty, locations, etc. Serve the CAD drafting needs for UH&D. Assist with in-house education of staff regarding finishes and furniture materials Financial Management-Gather information and recommend products or services. Monitor expenses against established accounts. Prepare and monitor budgets including remodeling costs, furniture and installation charges. In conjunction with the Director, plan and implement objectives and long-range programs for building interiors and furnishings. The manager works cooperatively with UIHC and UI departments in the design, coordination and implementation of capital and non-capital projects. This position provides oversight and management responsibility for the pneumatic tube system including staffing, maintenance and repair. In addition, the manager develops and maintains project budgets for program and electrical systems. Financial Management: Develop and support shop and cost center budget(s). Assists Director with developing and maintaining budget through recommendations and monitoring labor and non-labor expenses.  Develops and maintains inventory systems to ensure cost effective supply availability; creates, approves and receives purchase requisitions. Human Resources Management: Provide continuous comprehensive training and coaching opportunities for delegation of duties when appropriate. Provide purpose, direction and motivation through leadership and coaching to accomplish goals. Hold supervisors accountable for high performance and high engagement by articulating expectations, monitoring performance and providing feedback/recognition consistently across areas of responsibility. Manages staff assigned to the electrical systems shop and pneumatic tube system.  Including interviewing, selecting, training, disciplining, assigning staff work schedules and completing staff performance evaluations.  Ensures all required training and compliances are completed within established deadlines. Approves payroll, overtime, vacation and compensation time and ensures areas are staffed according to need and budget. Meets with staff on a regular basis to ensure policies and procedures are in place to address standards of operations and expected performance.   Ensures consistent, safe and timely performance is followed and documented by staff. This includes but is not limited to regulatory documentation and using the computer maintenance management software system.   Provide clear direction through daily briefings, verbal and written communications. Planning/Programming:  Develop and recommend procedures for preventative, routine and predictive operational and/or maintenance plans. Foster and promote a culture of proactivity, prioritization and responsiveness. Identify and track data regarding services, processes and personnel. Operational Management Regulation/Compliance: Maintain safety standards to assure compliance with applicable codes and regulations and provide a safe work environment. Provides leadership to ensure patient and non-patient corrective work requests, preventative maintenance, project coordination, troubleshooting and emergency events are managed, addressed and repaired in a professional and timely manner. Manage the normal and emergency power distribution systems, and associated equipment and documentation. This position is responsible for a coordinated and immediate response to resolve electrical utility system outages. Communicate directly with the University of Iowa physical plant and high voltage team. Develop, trains and implements processes and reports for staff to complete electrical system testing that includes but not limited to emergency generator testing as required by regulatory organizations.
